This is an onsite position assigned to One Energy Plaza located in Jackson, MI.  The selected candidate must be within a commutable distance or willing to relocate.  

 

General Summary of Job Responsibilities

 

The Field Operations organization is hiring a Senior Administrative Assistant to support the Executive Director. This organization enables safe, reliable, and efficient field operations across the state and partners closely with internal stakeholders to support day‑to‑day operations, outage response, and emergency coordination, with a strong emphasis on safety, performance, and customer service. The Senior Administrative Assistant provides high‑level administrative and coordination support to enable effective communication and execution across this geographically distributed organization.

 

The Senior Administrative Assistant plays a key role in the department by managing daily operations, coordinating office activities, and assisting department leaders with a wide range of administrative tasks. In this position, the assistant handles confidential information, serves as the primary contact for policy and procedural questions, and efficiently resolves both routine and complex service inquiries for internal and external clients.

 

Essential Duties and Responsibilities

 

  • Provide financial support to department leadership by monitoring, reviewing, and reconciling expenses and invoices associated with meetings, conferences, and other departmental activities.
  • Coordinate travel logistics, including arranging vehicle transportation, developing itineraries, and addressing related travel requirements.
  • Contribute to the organization, preparation, and successful completion of special projects by conducting research, compiling relevant data, summarizing findings, and preparing reports with actionable recommendations.
  • Manage planning, scheduling, and logistics for meetings, conferences, and special events; may be responsible for recording meeting minutes and representing the department in designated gatherings. Participate actively in committee meetings, including agenda development and scheduling.
  • Draft correspondence and produce written materials as needed. Create PowerPoint presentations and Excel spreadsheets, ensuring peer review of documents prior to finalization and distribution to maintain quality control standards. Maintain adequate inventory of office supplies.
  • Address administrative challenges by evaluating information and communicating effective solutions; recommend improvements to departmental operations. Offer training and assistance to departmental staff, oversee onboarding and offboarding processes, and may supervise or guide lower-level support personnel on administrative policies, procedures, and functions.
  • Oversee office workflow coordination and handle routine and complex inquiries from internal and external sources via phone, email, and written correspondence. Manage multiple departmental calendars and act as liaison between the department and other administrative units.
  • Perform other duties as assigned or as necessary to support departmental objectives.

Education and Experience

 

  • Associate Degree in a related field with a minimum of four (4) years of experience in an administrative assistant role.
  • OR High school diploma with a minimum of six (6) years of experience in an administrative assistant role.
