Location: This is a hybrid (virtual/onsite) position with required onsite days on Monday, Tuesday and Thursday and may be assigned to any Consumers Energy Service Center located throughout Michigan's lower Peninsula.  The selected candidate must be within a commutable distance or willing to relocate (relocation package is available for those that qualify). 

General Summary of Job Responsibilities

 

The Records Management Admin maintains records system by conferring with clerical and supervisory personnel about records problems; scheduling transfer of records to inactive or archival storage; micro graphing records; answering questions and requests; preparing reports. 

 

System Integrity Programs & Projects (SIP&P) Document Controls Team is responsible for management of records during the execution phase of gas capital projects in coordination with Engineering, Enterprise Project Management (EPMO), and Third-Party Engineering Vendors.

Essential Duties and Responsibilities

 

  • Work directly with engineering, project management and vendor personnel ensuring reviews and record requirements adhere to our Standards
  • Update and maintain Engineering Content Management database used for tracking, transmitting and distributing engineering and project records such as drawings and vendor literature
  • Provide support and perform document processing tasks during design, construction and closeout
  • Maintain quality results by following, and enforcing standards
  • Improve records management/information governance job knowledge by attending training sessions; reading technical publications
  • Participate in project status update meetings
  • Provide relevant document status content during operating review (daily, weekly and/or monthly)
  • Attend and participate in Lessons Learned collaborations arranged by EPMO project managers
  • Assist in the development and management on departmental document control Standards
  • Provide complex records management statistical information by answering questions and requests, and following prescribed procedures; prepares statistical reports; prepares reports of compliant destruction of records
  • Assist various departments in managing inactive records by following prescribed procedures for the archival of physical records to a centralized location, or the reduction of paper records through the transfer to an electronic medium
  • Identify complex records management related problems by conferring with clerical and supervisory personnel, while supporting and protecting operations by following records management procedures and maintaining confidentiality

Other Essential Duties and Responsibilities

 

  • Complete standard work for the CIG Center records including sorting, filing, retrieving, maintaining a charge-out system, scanning and indexing records, primarily in the physical medium
  • Implement the record retention schedules by scheduling the transfer of records to inactive/archival storage, manage legal (litigation) holds for physical records within the CIG Center and destroy records in a manner compliant to security classification and retention requirements
  • Identify records management-related problems by conferring with clerical and supervisory personnel; support and protect operations by following records management procedures and maintaining confidentiality
  • Assist various departments in managing inactive records by following prescribed procedures for the archival of physical records to a centralized location, or the reduction of paper records through the transfer to an electronic medium
  • Provide records management statistical information by answering questions and requests; follow prescribed procedures; prepare statistical reports; prepare reports of compliant destruction of records
  • Improve records management/information governance job knowledge by attending training sessions; reading technical publications
  • Maintain quality results by following and enforcing standards
  • Other duties as assigned or may be necessary

Education & Experience

 

  • Associate Degree in Business Administration with 2 years of experience in records management or similar roles 

 

  • [OR] High School Diploma with 4 years of experience in records management or similar roles
