Location: This position is onsite at the {SERVICE CENTER} located in {City, State}. The selected candidate must be within a commutable distance or willing to relocate.
GENERAL SUMMARY OF JOB RESPONSIBILITIES
The Administrative Assistant is responsible for performing a variety of administrative and operational support services required by business leaders. They assist management with office operations, such as scheduling meetings, receptionist duties, and supporting assigned projects. The incumbent may handle sensitive and confidential information and resolve routine inquiries regarding operations and services.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Assist with maintaining appropriate department financial records. Prepare and review expense reports and invoices for submission and approval.
- Compose, prepare, and verify the accuracy of a variety of materials, which may include correspondence, reports, agendas, lists, forms, presentations, memoranda, and other documents—independently or from leader instructions. Assist in preparing department and other agenda items and maintain a variety of lists as required.
- Coordinate office workflow. Screen, prioritize, and route telephone inquiries and other communications following established procedures. Receive and route mail to the appropriate destination. Maintain the department calendar and schedule appointments and meetings for leadership. Serve as a liaison between the department and other administrative units.
- Coordinate transportation and travel for management. Process travel-related documents.
- Order and maintain supply inventory and office equipment. Contact vendors, service providers, and related departments (e.g., Facilities, etc.) to resolve inquiries and issues.
- Schedule and coordinate meetings, including agenda planning and preparation. Coordinate special events (e.g., venue, invitations, speaker assistance, catering, audio/visual, conference calls, etc.). Document meeting minutes.
- Support employee recruitment efforts by arranging candidate visits and scheduling interviews. Provide support for the onboarding and offboarding of employees as requested.
- Perform other duties as assigned or as necessary.
KNOWLEDGE/SKILLS/ABILITIES
- Effectively work with individuals and groups.
- Proficient in computer technology and software; knowledge of Microsoft Suite programs.
- Ability to organize and prioritize multiple assignments.
- Ability to resolve issues as required.
- Ability to utilize various computer software programs.
- Effectively and efficiently perform highly responsible administrative functions, duties, and activities with attention to detail.
- Organizational and time-management skills.
- Perform light office maintenance and upkeep as needed, such as changing light bulbs or restocking printer paper.
- Written and verbal communication skills.
EDUCATION & EXPERIENCE
- Associate degree in Business or a related field, plus two (2) years of experience in an administrative support role or a related field
- (Or) High School diploma plus four (4) years of experience in an administrative support role or a related field
