Location: This is a hybrid (virtual/onsite) position with required onsite days on Monday, Tuesday and Thursday assigned to the Howell or Parnall(Jackson) location. The selected candidate must be within a commutable distance or willing to relocate (relocation package is available for those that qualify).
General Summary of Job Responsibilities
Essential Duties and Responsibilities
- Coordinate office workflow. Screen, prioritize, and route telephone inquiries and other communications following established procedures. Receive and route mail to appropriate destination. Maintain department calendar and schedule appointments and meetings for leadership. Serve as a liaison between department and other administrative units.
- Support employee recruitment efforts by arranging candidate visits and scheduling interviews. Provide support for the onboarding and offboarding of employees as requested.
- Assist with maintaining appropriate department financial records. Prepare and review expense reports and invoices to submit for approval.
- Order and maintain supply inventory and office equipment. Contact vendors, service providers and related departments (e.g. facilities, etc.) to resolve inquires and issues.
- Compose, prepare and verify accuracy of a variety of materials which may include correspondence, reports, agendas, lists, forms, presentations, memoranda and other documents, independently or from leader instructions, assist and prepare department and other agenda items and prepare and maintain a variety of lists as required.
- Schedule and coordinate meetings including agenda planning and preparation. Coordinate special events (e.g., venue, invitations, assist speakers, catering, audio/visual, conference calls, etc.). Document meeting minutes.
- Coordinate transportation and travel for management. Process travel related documents.

Knowledge/Skills/Abilities
- Organizational and time-management skills.
- Ability to organize and prioritize multiple assignments.
- Ability to resolve issues as required.
- Proficient computer technology and software skills, knowledge of Microsoft suit programs
- Perform light office maintenance and upkeep as needed, such as changing light bulbs or restocking printer paper
- Written and verbal communication skills.
- Ability to utilize various computer software programs.
- Effectively work with individuals and groups.
- Effectively and efficiently perform highly responsible administrative functions, duties and activities with attention to detail.
Education & Experience
- Associate Degree in Business or related discipline with two (2) or more years of relevant experience.
- [OR] High School Diploma/GED with four (4) or more years of relevant experience.
